Primary Purpose

The primary purpose of the Counseling Clerk is to assist the campus Guidance Counselor and Academic Advisor with the administrative and organizational tasks needed to keep the office well organized and efficient by providing clerical support for the department. The counseling clerk will assist the department with maintaining, filing, organizing, and adhering to and creating systems to support the work and the goals of the department. 



  • High school diploma or GED equivalent or higher (recognized by the Texas Education Agency or regional accrediting agency).
  • Complete clerical assessment to include typing a test of 30 words per minute before continuing with the process towards possible employment.



  • A desirable combination of training and experience of at least two years in record keeping, filing and general support in a business or school office.

Required Knowledge

  • Proper English usage, grammar, spelling, vocabulary, and punctuation.
  • Modern office methods, procedures, and practices, including filing systems, business   correspondence, and telephone techniques. 


Essential Duties

  • Assists the department with record tracking for all students
  • Maintains a spreadsheet of daily enrollments and student withdrawals
  • Maintains a spreadsheet of students who enroll with no records
  • Communicates with the campus registrar and data processor to follow up on pending records
  • Confirms, verifies, and obtains information regarding school procedures and operations
  • Assists with the maintenance of various calendars and timelines for the department
  • Coordinates the activities and operations of a school counseling office
  • Schedules meetings for students and parents
  • Prints schedules for students
  • Types a variety of materials such as memos, letters, reports, bulletins, and schedules to support the department
  • Maintains various files, including counseling files and forms
  • Answers the telephone and greets office visitors, taking messages, providing information, making appointments, and/or referring calls/visitors to appropriate staff
  • Learns school and district rules, regulations, and procedures and applies them in a variety of situations
  • Learns the operations, procedures, policies and requirements of assigned office and related functions
  • Understand and follow both oral and written directions
  • Prepare and maintain a variety of records and reports
  • Perform a variety of office support work
  • Maintain filing and record keeping systems including a computer database
  • Prioritize and schedule assigned workload
  • Learn and use a variety of computer software programs including word processing, spreadsheets, and other programs
  • Operate a variety of standard office machines and equipment
  • Effectively communicate both orally and in writing
  • Establish and maintain cooperative working relationships
  • Assists students with questions, concerns, and/or problems referring them to the appropriate staff.
  • Monitors and assists students in the office
  • Assists with general registration questions and referral to the appropriate staff
  • Works with and updates a variety of student records, including health records, registration, attendance information, cumulative files, and enrollment files
  • Works with frequent deadlines
  • Other duties as assigned

  • Office equipment and tools: calculator, computer, printer, copier, fax, multiline telephone, and other equipment and platform applicable to the position.


Mental Demands/Physical Demands/Environmental Factors:

  • Work with frequent interruptions, work with frequent deadlines, and maintain emotional control under stress.  Occasional prolonged or irregular hours.  Regular district wide travel to multiple work locations as assigned; moderate lifting and carrying.
